[Dissemination and visibility]

Applicants undertake to publicize the main results obtained in the course of their projects. Communication activities may include the following:

  • press release, press conference, scholarly or general-interest article;
  • public address, conference, field day, colloquium (includes PowerPoint presentations);
  • demonstration;
  • fact-sheet publication;
  • conference proceedings;
  • brochure;
  • presentation;
  • portion of website;
  • decision-making tool;
  • promotion, poster, etc.

All public communication materials must acknowledge the financial support of Agriculture and Agri-Food Canada (AAFC) through the CAAP and must be approved by AAFC before publication or distribution. The CDAQ will act as liaison between the applicant and AAFC.

 

PROCEDURE

When an applicant elects to make an announcement about a CAAP-funded project, the CDAQ must be informed by email of the applicant’s intentions at least four weeks in advance.

 

Document or Publication

  1. The drafted communication tool or materials, including funding acknowledgements, must be sent to the CDAQ by email.
  2. After verification, the CDAQ will forward the material to AAFC for approval.
  3. Once the material has been approved, the applicant will be notified by email. Should the material not be approved, suggested modifications must be implemented before the material is resubmitted for approval.

Announcement or Event

  1. At least four weeks in advance of the projected date, a brief description of the planned event (theme, context, participants, and so on) must be sent to the CDAQ, as well as projected methods of CAAP funding acknowledgment.
  2. Following verification, the CDAQ will forward the material to AAFC to determine AAFC’s interest in participating, and to approve the visibility.
  3. Once the visibility has been approved, the applicant will be notified by email. If the announcement or event is not approved, suggested modifications must be implemented resubmitting it for approval.
  4. If a Minister’s or Deputy Minister’s announcement is being considered, the CDAQ will inform the applicant in order to avoid pre-emptive public communication. The CDAQ will also put the applicant in touch with the AAFC representative.

 

VISIBILITY


Visibility may be in the form of an acknowledgment message or of a logo. In order to facilitate the distribution of promotional materials and communication tools, the AAFC logo, including funding details and different phrasings, is available in various electronic formats through the CDAQ.

 

LOGO

The logo must be used in such a way that the text is legible. All partners should generally be treated equally, to ensure the visibility of each one.

ACKOWLEDGEMENT MESSAGES

 

Acknowledgment of financial support for provincial projects

“A portion of project funding was provided by Agriculture and Agri-Food Canada through the Canadian Agricultural Adaptation Program (CAAP). In Quebec, the agricultural production component of this program is managed by the Conseil pour le développement de l’agriculture du Québec.”

 

Acknowledgment of financial support for multi-province projects

If the project is also funded by other sector councils, their contributions must be acknowledged in all communication-related activities and materials, by listing the council name or, in cases where there are a significant number of partners or funding bodies, by listing the participating provinces.

 

“A portion of project funding was provided by the sector councils of Quebec, [list of other participating provinces], who administer the Canadian Agricultural Adaptation Program (CAAP) for Agriculture and Agri-Food Canada.”

 

Disclaimers

If a disclaimer is necessary (in a report, for instance), the following phrasing must be used:

 

“Agriculture and Agri-Food Canada (AAC) is committed to working with our industry partners to increase public awareness of the importance of the agriculture and agri-food industry to Canada. Opinions expressed in this document are not necessarily those of AAFC nor of the Conseil pour le développement de l’agriculture du Québec.”

 

Dissemination


Deliverables and reporting

A copy of any document or output created as part of the project’s communication-related activities must be forwarded to the CDAQ, as well as any media coverage of the project (newspaper articles, advertorials, interviews, and so on). The applicant must also complete the dissemination table included in the progress and report templates. The required fields are:

  • a description of each activity completed during the period covered by the report;
  • completion date;
  • number of people reached;
  • type of visibility (logo, mention).
